One of the main banks in Spain asked us to come up with a solution to increase efficiency among employees. Teams had difficulties communicating, the interaction between departments was low and the internal processes needed optimization.

Using a combination of Agile and Design thinking techniques, we managed to uncover some of the real needs:

First of all, we wanted to find a way to connect employees. Then it was important to give them easy access to an online platform that contains the documentation needed to answer all work related questions.

Moreover, given the profile of the industry and the fact that they were dealing with sensitive information, a platform that would guarantee a high level of security was one of the absolute requirements. Briefly, the company needed a secure environment for common work, knowledge sharing, and informal communication.

Solution:

Our solution was to build an intranet system that would create an agile, modern organization.

We wanted to empower employees to find information easier, remove obstacles and make the entire work process more efficient.

Who’s doing what:

We used Scrum for a better and more efficient division of work. Partial versions of the product were delivered regularly, prioritized by the benefit it brings to the recipient. Therefore, Scrum is especially suitable for projects in complex environments, where you need results fast, where requirements are changing or are poorly defined, and innovation, competitiveness, flexibility, and productivity are fundamental.

The project was divided into 3 phases

Phase 1. Definition of the intranet architecture and UX/ UI design

Together with the client, we organized co-creation sessions to determine how to make the experience with the new product as rewarding as possible. Terms like functionality, user adaptability and usability were high on our priority list.

The intranet had to be easy to use, informative, entertaining, and to reflect the organizational values.

Some of the functionalities we opted for:

  • Content creation and sharing by team members;

  • Possibility to post notes in the bulletin board;

  • Employee evaluation and online requisition;

  • Facilitating discussions and forums;

  • Project Management tools.

Phase 2. Development and testing

Our UX/UI design team tested the portal to check if it is fully optimized for iOs and Android mobile devices. It was also tested on four browsers: IE9, Chrome 28, Firefox 23 and Safari 5.1.7. Usability testing has been performed by real employees to ensure quality.

Phase 3. Definition of content

The content was defined prior to the launch of the platform. After the launch, we tested to see if the users’ preferences and interests align with the configuration of the newly created platform.

Conclusion

Our solution to build an intranet that would connect the entire organization made a significant difference in the overall efficiency of the company: significant cost reduction, lower response time and a better interaction with customers.
